How to book a stage in the Midwest

What organizers should know before booking a stage for major artists, concerts, and festivals.

Planning a concert, festival, community celebration, corporate event, or major artist performance in the Midwest? One of the most important production decisions you’ll make is choosing the right stage.

Booking a professional stage involves much more than finding a platform for performers. Major artists and large-scale events may require specific stage dimensions, roof coverage, power, sound, lighting, backstage access, security, load-in procedures, and technical support.

This guide from White Rhino Productions explains what event organizers should know before booking a stage for their next Midwest event.

Start With the Artist or Event Requirements

Before requesting a stage quote, determine exactly what your event needs.

If you’re booking a touring or nationally recognized artist, request the artist’s technical rider as early as possible. The rider may specify requirements for:

  • Stage dimensions
  • Stage height
  • Roof and overhead clearance
  • Audio system
  • Monitors
  • Lighting
  • Electrical and power distribution
  • Backline
  • Video or LED walls
  • Barricades
  • Dressing rooms
  • Load-in and load-out
  • Production staffing

Your stage and production provider should review these requirements before the event.

This is especially important when producing concerts featuring multiple artists, DJs, bands, speakers, or live entertainment.

Choose the Right Stage Size

Not every event requires a massive concert stage.

A community festival, award ceremony, neighborhood event, corporate presentation, or smaller concert may benefit from a compact professional stage that provides strong sightlines while keeping production costs manageable.

White Rhino Productions offers a 20' x 16' raised stage platform with a 19' covered roof, providing performance space and overhead protection for a variety of outdoor events.

When determining whether a stage works for your event, consider the number of performers, instruments, DJ equipment, monitors, microphones, lighting fixtures and other production equipment that must fit safely on or around the stage.

Determine Whether You Need Stage-Only or Full Production

One of the biggest mistakes event organizers make is assuming the stage rental includes the entire concert production.

Stage rental and event production can be very different services.

White Rhino Productions offers multiple levels of support depending on the event.

Stage Only Rental — $3,500–$5,500 per day

Designed for organizers who already have their own production team and primarily need the staging infrastructure.

Stage + Basic Crew Setup — $4,500–$6,000

Adds crew support for setup and event preparation.

Stage + Production Package — $8,500–$12,000

Designed for events requiring staging along with professional lighting and sound support.

Full-Service Concert Package — $15,000–$25,000+

For larger productions requiring the stage, full crew, audio/visual production and additional event-production coordination.

Final pricing depends on the event's location, schedule, production requirements, artist rider, equipment requirements and staffing needs.

Send the Stage Company Your Event Details

The more information you provide upfront, the easier it is to build an accurate quote.

When contacting White Rhino Productions, be prepared to provide:

Event Date: When is the event?

Location: Where will the stage be installed?

Event Type: Concert, festival, corporate event, community event, award ceremony, fundraiser, etc.

Expected Attendance: How many guests are expected?

Artist or Entertainment: Who will perform?

Artist Rider: Are technical requirements available?

Event Schedule: What time does the event begin and end?

Load-In: When can production crews access the site?

Production Requirements: Do you need sound, lighting, video, crew or other services?

Providing these details early can prevent production problems later.

Confirm the Event Site Can Support the Stage

Outdoor staging requires proper site planning.

Before installation, the production team may need to evaluate access for trucks and equipment, available installation space, surface conditions, power availability, audience positioning, backstage areas and emergency access.

The organizer should also determine whether permits, inspections, insurance certificates or other local approvals are required.

For major events, site planning should happen well before event day.

Plan for Midwest Weather

Anyone producing outdoor events in Nebraska or elsewhere in the Midwest understands how quickly weather conditions can change.

Rain, wind, heat and storms should all be considered during production planning.

A covered stage can provide important overhead protection, but organizers still need a complete weather and emergency plan. Event producers should establish who monitors conditions, who has authority to delay or stop a performance, and how artists, crew members and attendees will be notified if conditions become unsafe.

Weather planning should be part of the production plan—not something discussed for the first time on event day.

Coordinate Sound and Lighting Early

A great stage is only one component of a successful concert.

Professional artists may arrive with detailed requirements for front-of-house audio, monitors, microphones, inputs, lighting fixtures, power and equipment placement.

Sending the artist rider to the production company early gives the production team an opportunity to determine what equipment is already available and what additional equipment may need to be sourced.

For major artists, avoid waiting until the week of the event to begin technical planning.

Build a Realistic Production Budget

Your production budget should account for more than the stage itself.

Depending on the event, expenses can include staging, transportation, labor, sound, lighting, generators, electrical distribution, barricades, security, tents, video production, artist hospitality, permits and insurance.

Creating a complete production budget early helps organizers determine where to invest resources and prevents unexpected expenses close to the event.

Consider Full-Service Event Support

Some organizers need more than equipment.

White Rhino Productions also provides professional support in:

Event Strategy • Consulting • Program Development • Fundraising • Marketing

For organizations producing festivals, concerts, community programs and other large events, having production and strategy working together can simplify the planning process.

Services can include event strategy, festival design, sponsorship alignment, vendor strategy and operational coordination.

How Far in Advance Should You Book a Stage?

For larger concerts and festivals, start conversations with staging and production providers as early as possible.

Popular weekends and festival dates can fill quickly, particularly during spring and summer event seasons.

Major artist events also require additional coordination because the production team may need time to review technical riders, source equipment, coordinate staffing and develop the event's load-in schedule.

Even if every detail hasn't been finalized, securing the date and beginning the production conversation early can make the process significantly easier.
